This Privacy Policy explains what information we collect when you use Sleevenote hardware, software, and websites (together, the “Services”), why we collect it, and your choices.
1. What we collect
1.1 Device and service data
When a Sleevenote device connects to our servers, we may process:
- device identifiers (
device_id) and authentication tokens; - app version, build number, platform, and user agent;
- IP address and approximate location derived from IP (if enabled);
- registration and last-seen timestamps;
- diagnostic or operational signals needed to keep the product working (for example pings).
1.2 Play history (optional)
If you enable Share play history on the device, we may receive play events such as:
- when a track was played;
- artist, album, and track titles and related identifiers;
- track number, album track count, and duration where available;
- the device id associated with those events.
Sharing is off by default. You can turn it off at any time in device settings. When off, the device should not upload new play events to us.
1.3 Account and website data
If you create an account or use sleevenote.com (or related apps), we may process account details you provide (for example email, username, profile information), collection and submission data, and standard web logs (IP, browser, pages visited).
1.4 Crash reports
If the Player app crashes, it may save a diagnostic report on the device and upload it to our servers when the device next connects. A report may include:
- device identifier (
device_id); - app version, build number, and platform;
- exception class and message;
- stack trace and thread name;
- when the crash occurred;
- a hash used to de-duplicate similar crashes.
Crash reporting is used to find and fix software bugs. It is not play-history sharing and is not controlled by the Share play history setting.
1.5 Communications you send us
Support emails, form submissions, and similar correspondence.
2. How we use information
We use this information to:
- operate, secure, and improve the Services;
- authenticate devices and prevent abuse;
- provide optional features you enable (including play-history sync);
- diagnose crashes and other product issues and measure reliability;
- communicate with you about the product;
- comply with law and enforce our terms.
Derived “album listen” summaries may be created from play events (for example when enough of an album is played in one sitting) for product and community features.
3. Sharing
We do not sell your personal information.
We may share information with:
- Service providers who process data for us (hosting, email, analytics, error logging), under contracts that limit their use;
- Community channels you or we enable — for example, announcements of album listens to a Sleevenote Discord (or similar) webhook, typically using album/artist metadata and a device-scoped identifier, not your name or email;
- Legal / safety recipients when required by law or to protect rights, users, or the Services;
- Business transfers (merger, acquisition, asset sale), subject to continued protection consistent with this policy.
Play-history-derived announcements only apply if play sharing is enabled and events have been uploaded.
4. Retention
We keep information only as long as needed for the purposes above:
- device records while the device remains registered / active and for a reasonable period after;
- play events and derived listen records for product and community use, then deleted or anonymised when no longer needed (typically within 24 months);
- account data while your account is open, then deleted or anonymised subject to legal retention needs.
Local play events on the device may be pruned by the Software independently of the server.
5. Your choices
- Play history sharing: enable or disable in Player settings.
- Accounts: update or delete account data via available account tools or by contacting us.
- Marketing: opt out of non-essential marketing emails where offered.
- Access / deletion: depending on your location, you may have rights to access, correct, delete, or restrict processing of personal data, or to object / withdraw consent. Contact hello@sleevenote.com. We may need to verify the request.
6. Security
We use reasonable technical and organisational measures (including hashed device tokens and access controls). No method of transmission or storage is fully secure.
7. International transfers
We may process data in the United Kingdom and other countries where our service providers operate. Where required, we use appropriate safeguards for cross-border transfers.
8. Children
The Services are not directed at children under 16. We do not knowingly collect personal data from children. If you believe we have, contact us and we will delete it.
9. Changes
We may update this policy. We will post the revised version with a new effective date. Material changes may also be notified in-product or by email where appropriate.
